Graduate Assistant (GA) Student Employee Terms, Conditions and Responsibilities

I accept the Graduate Assistant (GA) placement offered by National Louis University.

I understand that failure to comply with the terms and conditions of the Graduate Assistantship may result in immediate termination from or reduction of award received through the Graduate Assistant Program.

I understand the terms and conditions of the Graduate Assistantship are subject to change with notice. Including, but not limited to; continuous eligibility, changes in plan or hours eligible to work, funding amounts, etc.

NLU can require a student to terminate participation in GA due to the receipt of other financial aid, which exceeds the student's financial need. While every effort will be made to adjust the other forms of aid and to notify all parties in advance of such an exigency, on some occasions it may be necessary to terminate a student from GA without advance notice.

NLU may also require cessation of a student's participation in GA if NLU's funding allocation is exhausted, if the student fails to enroll at least a half-time regular student in an eligible program, if the student obtains employment directly with NLU or if other terms, conditions and criteria are not being met.

  1. Adhere to the Satisfactory Progress requirements (2.00 GPA for Undergraduates, 3.00 GPA for graduates and 67% pace) in order to remain eligible to have a federal work study position. Information regarding SAP requirements can be found here‌.
  2. Submit all required hiring documents to the Student Finance Office via email at FWS@nl.edu or fax at 847.947.5443. Required employment forms can be found here. All required documents must be submitted before you may begin working.
  3. You may begin working once you have received an authorization email from the Student Finance Office.
  4. You will be notified of your graduate assistant funding allocation for the year. You may not work in excess of that funding amount.
  5. Employees who work more than 5 but less than 7.5 hours in a given day are required to take one 15 minute paid break. Employees who work 7.5 or more hours in a given day are required to take two 15 minute paid breaks and a 30 minute unpaid meal break. The two 15 minute paid breaks may not be used to shorten the work day. The 30 minute unpaid meal break should be scheduled midway through the work day. With approval from a supervisor, the two 15 minute break periods may be added to the 30 minute meal period to yield a one hour meal break. All schedule changes must have prior approval by the supervisor.
  6. Once you begin working you will need to note your hours worked each day on your GA timesheet. You must work all the hours you submit on your timesheet. Timesheets must be submitted monthly for prior months hours worked.
  7. You cannot work during scheduled class time. Provide your supervisor with your course schedule when determining what hours you will work during the term.
  8. Notify the Student Finance Office at FWS@nl.edu if you resign from your job or withdraw from one or more classes. If you are not enrolled at least half-time (6+ quarter hours for undergraduate students, 3+ semester hours for graduate students) you are ineligible to work.
  9. Contact the Student Finance Office if you would like to transfer to a new position.
  10. Adhere to all University policies noted in the Student Guide Handbook which can be found here.

Note: Per the Illinois Unemployment Insurance guidelines, any work positions that are paid and classified as student employment, such as Federal Work-Study, College Employment, Graduate Assistant and Harrison Pathways, etc., are not eligible for unemployment compensation, once the position has ended. Participation in the Federal Work-Study program does not constitute bona fide National Louis University employment status. Therefore, when you are no longer participating in the student employment program, you would not be eligible to request or receive unemployment compensation.
